Frequently Asked Questions
More about the services
-
We don't wait for you to ask. We anticipate.
Day to day, we handle medical appointments for the whole family, finding and registering for holiday camps and activities, admin follow-ups (insurance, school, healthcare), planning trips and family events, and managing recurring deliveries and errands.
We also offer Olima Packs: eady-made sets of proactive actions you choose based on what fits your family best.
-
Both, and that's what makes us different.
A real person handles your requests, acts, and adapts to your family over time. Behind the scenes, smart tools handle tracking, reminders, and follow-ups, so nothing falls through the cracks.
You only ever interact with your dedicated assistant. The technology stays invisible, that's how it should be.
-
You get a dedicated human assistant who takes ownership of your requests
-
Straightforward, up and running in 48 hours.
1. A 20-min intro call to get to know each other
2. We build your complete family profile (kids, doctors, schools, habits)
3. Your first requests come in, we start
4. A check-in at the end of week 1 to fine-tune together
Month 1 always delivers three things: quick relief from week one, a few key systems put in place for your family, and a clear picture of what Olima can take off your plate every month. Less to manage. More time to live.
-
Yes. Olima is GDPR compliant.
Your information is only accessible to your dedicated assistant, who signs a confidentiality agreement before working with you. You can request deletion of your data at any time, no conditions attached.
-
We don’t sell hours , we sell outcomes and capacity.
Each plan includes a defined monthly workload that reflects what a dedicated assistant can realistically and sustainably deliver at that level.
This avoids time-tracking anxiety and lets your assistant focus on getting things done efficiently, not watching the clock. -
Each plan is designed around typical use cases, which we clearly outline (admin support, scheduling, research, inbox support, coordination, recurring tasks, etc.).
If something is unclear, we’ll tell you upfront whether:
it fits comfortably,
needs prioritisation,
or would require an upgrade or add-on.
No surprises.
-
Your hours are valid for the current month . Unused capacity does not roll over.
That said, many clients use quieter periods to:
set up systems or automations,
schedule ahead,
prepare the next busy period.
Your assistant will proactively suggest ways to make good use of the time.
We alert you before you exceed your allocation, and extra hours are available at €75/h if you need more.
No surprises, no hidden charges.
-
You have three options:
Upgrade to the next plan
Add temporary extra support
Re-prioritise tasks for that month
We’ll flag this early, before things become a problem.
-
Yes. All plans include fair use guidelines to ensure quality and sustainability.
This simply means:
no 24/7 availability,
no unlimited urgent requests,
no work that would normally require multiple full-time people.
If your needs grow beyond fair use, that’s a good sign, and we’ll adjust the setup with you.
-
Yes, internally only.
We track workload to ensure:
fair distribution,
consistent quality,
and realistic expectations.
Clients are not billed by the hour and don’t need to manage timesheets.
-
No plan is unlimited. Premium offers priority access and a higher level of support, designed for active use.
If your needs grow beyond what’s included, we’ll simply adjust capacity so service quality stays high. -
Yes, no stress, no complications.
The service is month-to-month, cancellable with 15 days' notice. No minimum commitment, no penalties. You stay because it's working, not because you have to.

We're based in Brussels and work with families in Belgium.
For tasks that can be handled remotely, we can sometimes help beyond borders. Reach out, let's see what we can do together.
-
On the admin side: often within the first week.
To truly exhale and release the mental load, to stop carrying everything in your head, allow 3 to 4 weeks. It takes a little time to learn to delegate, and to see that nothing gets missed.
-
No, and that's worth saying clearly.
Olima is a remote personal assistant.
We handle what weighs on your mind and fills your phone: admin, research, organisation, follow-ups. Not what happens physically at home.
-
Yes. Olima is for the whole family , not just one person.
Your partner can submit requests directly. Because mental load shouldn't rest on one pair of shoulders
